May 2026 Update: Reporting, Cart, Production, and Inventory Improvements

This release brings significant improvements across dashboards and reporting, cart and product access, production file management, and inventory valuation. Several priority bug fixes are also included.

Dashboards & Reporting

More dashboard tile types — Dashboards now support Headers, Separators, Text blocks, URLs, Files, Business Rules, and embedded iframes alongside standard report tiles. Mix and match to build richer operational views.

Shareable report links — Any user with Reports access can copy a direct link to a report and share it. Recipients land directly on the report with the folder tree expanded.

Multi-level report improvements — Child reports can now reference different join fields per level, enabling deeper drill-downs without naming conflicts.

Operator-level reporting — Work order operations, work orders, and op time records are now fully reportable with operator fields, planned time, and navigation properties.

New inventory reports — Includes a prior-date inventory snapshot and BOM consolidation rollups across product lines.

New columns on Sales reports — Production and invoiceable status columns are now available on Order Management sales reports, with filtering and sorting.

Cart & Product Access

Cart cross-selling — Related items can now appear below the cart based on manual cross-sell relationships, co-purchase history, or popularity within a product line.

Empty category handling — Categories with no accessible items can now be hidden or grayed out rather than appearing empty.

Date-windowed product access — Product access rules can now have active date ranges, so seasonal or time-limited access applies automatically.

Staff product access override — Staff and admin users can add restricted items to a cart with an audit log entry recorded.

Production & Job Management

File and photo attachments on jobs — Files and photos (including camera capture) can now be attached directly to Jobs, Work Orders, and Sales from within Job Manager and Workflow views.

Improved rep change handling — Territory and customer-level rep changes now propagate correctly to open quotes and sales. Deactivating a rep triggers a background cleanup of affected customer assignments.

Inventory

Separate "include in value" control — Inventory types now have an independent flag controlling whether items are included in inventory valuation. QuickBooks journal entries and value reports respect this flag separately from cycle-counting behavior.

RMA

Default email settings for RMAs — Per-tenant default subject lines and body text can now be configured for the three RMA email types.

Priority Bug Fixes

Postal code lookup on reports — A bug causing invoice, sale, and quote postal code fields to return incorrect city/state data for numeric US zip codes has been resolved. Reports and DOMO exports now show correct values.

Partial invoice quantity error — A database error affecting partial invoicing of sale items with multiple work orders has been fixed.

QuickBooks Online fresh connection — Pushing invoices through a new QBO connection no longer fails due to empty account ID settings.

Date filter switching — Switching a date filter from a range preset to a specific date now correctly applies the entered date rather than the prior range.

March 2026 Update: Order Management, Purchasing, and Real-Time Production Improvements

This release focuses on making order management more flexible, purchasing more collaborative, and production updates more immediate. Several quality-of-life improvements and bug fixes are also included.

Order Management

Rearrange panels your way — The right-hand panels on orders and customer views can now be dragged into any order you prefer. Your layout is saved between sessions.

Email delivery tracking — See delivery status (delivered, opened, bounced) for emails sent from orders and shipments, directly on the record. No more wondering whether a customer received a quote or shipping notification.

Admin "view as" user — Administrators can now impersonate any user to see exactly what they see, making it much faster to troubleshoot permission issues. All impersonation sessions are audit-logged.

Purchasing

Supplier date confirmation — Suppliers can now confirm or decline purchase order due dates through a direct response flow. Purchasing agents are notified automatically, so you always know where a PO stands without manual follow-up.

Production

Real-time Job Manager updates — Work order status changes made in WorkScan and Workflow now appear in the Job Manager list instantly. The previous polling delay has been replaced with live push updates.

Clearer work order status messages — Status text throughout Job Manager and WorkScan has been updated for clarity: "Complete & Closed," "Operations complete, ready to close," "No operations assigned," and "This is the last operation."

Settings & Administration

Settings search improvements — Search now works regardless of word order and matches against both the setting name and its description.

Notable Bug Fixes

Job priority and due date on multi-WO routings — When a routing creates multiple work orders for a single sale item, priority and due date are now applied to all of them, not just the first.

Prepayment status visibility — Prepayment-related statuses (Pending Prepayment, Prepayment Received) now only appear for customers who actually require prepayment.

RMA from closed sales — Fixed an error when creating an RMA from a closed sale containing configurator flat items.

Job Manager load hang — Job Manager no longer hangs on load when the create-job dropdown encounters an error.

November 2025 Update: Notifications, Reporting, Production, and Order Management Improvements

This release brings a redesigned notifications and settings experience, significant reporting enhancements, production workflow improvements, and a range of order management and inventory updates.

Notifications & Settings

New notification editor — A dedicated interface for managing notifications replaces the previous inline approach, making it easier to configure what gets sent and when.

Team notifications — A new notification type lets team members claim and complete work items, automatically archiving the notification for other team members once claimed. Reduces duplicate effort on shared queues.

Personal settings redesign — Personal and notification settings now open in a slide-out panel with faster access when a user has access to multiple customers.

Admin settings redesign — Settings are now categorized by type, making it significantly faster to find and configure tenant-level options.

Reports & Data

Sorting on calculated columns — Report Manager now supports sorting on calculated columns, not just raw data fields.

Conditional styling on reports — Apply formatting rules to highlight rows or cells based on data values.

Simplified report sharing — View access logic has been updated to make sharing reports with other users more straightforward.

Production & Manufacturing

Workflow App shows all work orders per work center — The Production Workflow App can now display all work orders for a single work center in one view.

Job Manager improvements — Enhanced search and the ability to split or group items when creating work orders.

Multi-level model tracking on orders — A new model categorization system lets you define a model list, assign models to order items, and specify which items in a configurator tree carry model information.

Financial Operations

Automatic $0 invoice conversion — Invoices totaling $0 now automatically convert to paid status without manual action.

RMA improvements — Create RMAs directly from invoices or sales. Choose specific items within a configuration when initiating a return. Notes are cleared when converting a sale or invoice to a return.

Inventory

Inventory Hub improvements — Better item highlighting in Bay Browser after a search, part names now visible in Bay View, and improved bay editing with bays visible in the Area slide-out.

Auto-attach images by part number — Multiple images can be automatically attached to items based on part number from the Item List view.

Order Management

Google Places address autocomplete — Address fields now suggest and complete addresses using Google Places, reducing entry errors.

Customer override pricing in OM — Customer-specific pricing overrides are now editable directly in the Order Management customer view, including a new maximum discount field.

Compressed view enhancements — Override descriptions are now visible in compressed view. A new setting controls which optional fields appear on quotes, sales, and invoices in compressed view.

Bug Fixes

Email addresses with "+" character — Fixed a sending failure for email addresses containing a plus sign.

First login issue — Resolved a login error introduced by recent data loading changes.

Closed purchase orders — The Add button no longer appears on closed purchases.

September 2025 Update: Order Management, Production, Dashboards, and Purchasing Improvements

This release adds flexibility to order management, expands production workflow options, introduces dashboard kiosk mode, and improves purchasing.

Order Management

Blank order items — Quotes, sales, and invoices can now include blank line items, useful for custom or non-catalogued entries without requiring a configured product.

Customer instructions note type — A new "Customer Instructions" note type displays at the top of quote, sale, and invoice windows for CSR reference, keeping important customer-specific guidance visible without cluttering the order.

Selective RMA item creation — When creating an RMA from a sale, you can now choose specific items to return rather than pulling the entire order.

Dashboards & Reports

Dashboard kiosk mode — Dashboards can now run in kiosk mode, making them suitable for shop floor displays and wall-mounted screens without requiring a full user session.

Report Manager updates — Child reports can now be joined by custom fields. Quick filters have been added for faster report navigation.

Production

Work order grouping and ungrouping — When creating work orders, you can now group multiple sale items into a single work order, or ungroup configurable items into separate work orders. More control over how production is organized without manual workarounds.

Generic labor routings — Labor routings can now be marked as generic and applied to any product, removing the previous product-type restriction.

Job and work order deletion in Job Manager — Jobs and work orders can now be deleted directly from Job Manager.

WorkScan speed improvements — General performance improvements to WorkScan load and interaction times.

Purchasing

Freight terms on purchase orders — A freight terms list and field have been added to purchase orders for better shipping documentation.

Improved PO address selection — Purchase order address selection has been updated for clarity and ease of use.

Bug Fixes

Purchasing tooltip blocking stock button — A tooltip in the Purchasing app was covering the stock button; now resolved.

April 2025 Update: — Audit Logging and Search Performance

A lighter release focused on interface polish, speed, and behind-the-scenes reliability improvements.

Interface

Improved search speed — Search across the application is faster, with specific improvements to quote, sale, and invoice search in Order Management.

Order Management

Audit log access for admins — Administrators can now access the audit log for any order directly from the three-dot menu, without leaving the record.

Production

Work order issue prompt on failed inspection — When an inspection step fails in Workflow, you are now prompted to log a work order issue immediately, keeping issues from slipping through.

Purchasing

Supplier search required when adding suppliers — Supplier search is now required before adding a new supplier, reducing duplicate supplier records.

Item Designer

Scroll position preserved while editing — The Item Designer now holds your scroll position while editing items, so you no longer lose your place after saving a change.

January 2025 Update: Financial Calculations, Order Management, and Production Improvements

Important: Financial Calculation Change

Rounding methodology updated — Wheelhouse now uses "Round Away from Zero" instead of "Round Up." For most invoices this makes no visible difference, but for some line item combinations totals may shift by a penny or two.

What to do after this update:

  • Review your first few invoices and compare totals between Wheelhouse and QuickBooks.
  • Be aware that opening and re-saving existing quotes, sales, or invoices may adjust totals slightly due to the new method.
  • Contact support immediately if you see unexpected discrepancies.

Order Management

Copy as New Quote on more sale types — The "Copy as New Quote" option is now available on closed sales and additional sale types, not just open orders.

Email attachments from Order Management — Documents attached to an order and marked as "shared" can now be attached directly when sending emails from Order Management.

Purchase order upload during quote-to-sale conversion — Purchase orders can now be uploaded as part of the quote-to-sale conversion step. Optional; requires enabling in settings.

Custom forms in customer records — Custom forms now appear directly within customer records in Order Management, no longer requiring a separate navigation step.

Auto-send emails on release — A new field in the order three-dot menu lets you automatically send emails when an order is released. Appears only when the Auto Email setting is enabled.

Production Management

Direct menu links to Job Manager and Workflow Manager — Both apps are now directly accessible from the main menu without extra navigation steps.

Item Designer quantity warnings — Warnings now appear in Item Designer when minimum and maximum quantities need review, such as when defaults fall outside the specified range.

Edit labor routings in Job Manager — Labor routings can now be modified directly from within Job Manager.

Automatic work order creation — Work orders can now be created automatically when a single primary labor routing can be identified for an item.

Inventory

Inventory count flag list — A new actionable list surfaces inventory count flags and notes, making it easier to review and resolve flagged items during counting.

November 2024 Update: Order Management, Production, and QuickBooks Improvements

Order Management

Individual item linking in QuickBooks Online — Wheelhouse can now create and link individual line items in QBO for both bills and invoices, giving you more granular QuickBooks records.

Outside rep default access level setting — A new setting controls the default access level assigned to outside reps, reducing manual configuration when adding new reps.

Production

Work order actions in the steps interface — Work order actions are now accessible directly from the steps interface, reducing navigation during production.

Simplified work order close — The separate "close" and "force close" buttons have been combined into a single button for a cleaner interface.

Coming Soon

One-page order views — A condensed single-page view for quotes, sales, and invoices is in development for customers and outside reps.

Workflow Manager and Routing Manager — Job Scheduler and Shop Work are being replaced by the new Routing Manager and Workflow apps. Both are available now and we recommend transitioning your team as soon as practical.

Bug Fixes

Work order issue filter — Fixed a filter that was incorrectly excluding resolved work order issues from results.

April 2024 Update: Interface, Pricing, and Performance Improvements

This release improves visibility on the shop floor, adds flexibility to customer pricing, and delivers meaningful performance gains.

Interface Improvements

WorkScan active operation details — The active operation card now displays quantity, marked-for information, and customer name at a glance, reducing the need to navigate away for context.

Shop Work visual workflow improvements — Running and idle operations are now visually distinct: running operations display in a darker yellow, idle in a lighter yellow. Easier to read the floor at a glance.

Dashboard product line filtering — The Sales & Invoices Pie by Product charts can now be filtered by product line for more granular analysis.

Functionality

RMA fields carry through to closed records — Restocking fees and other RMA-specific fields now flow through to Closed RMA and RMA Invoice records automatically, eliminating manual re-entry.

Customer-specific quantity discount pricing — Improved quantity discount options allow customer-specific pricing to be configured on the item's Customer Item tab.

Performance

Reduced server load — Overall responsiveness improved through server CPU and memory optimizations.

Country and state dropdowns — Address fields on quotes and sales can now be limited to a defined list of countries and states. Contact us to enable this feature.

We released significant enhancements to the Inventory, Purchasing, and Receiving modules. This update introduces Kanban Replenishment Purchase Triggers, an expanded QuickBooks Online integration, and refreshed Sales by User Pie charts in the dashboard. These enhancements are designed to streamline purchasing processes, improve data integration, and offer more insightful sales data.

Improved Search Functionality, Customer Switching, and Compressed Order Toolbar Buttons

Benefits:

We have improved our overall search functionality, making it easier to find the items you need. We have also added a new feature that allows internal agents to switch customers on quotes and sales, providing greater flexibility and convenience. Additionally, we have compressed the Order Toolbar Buttons to show symbols only for a cleaner and more streamlined interface.

Details:

  • Search Functionality: Our search function has been updated to interpret special characters as characters, eliminating the need for quotation marks in many cases. In addition, the % and _ characters are wildcard characters, allowing you to search for items that match a certain pattern.
  • Customer Switching: We have added a new feature that allows internal users to switch customers. You may control access to this feature with a new system setting. This feature may be accessed from the 3-dot menu when editing an individual quote or sale.
  • Compressed Order Toolbar Buttons: We have compressed the Order Toolbar Buttons to show symbols only, providing a cleaner and more streamlined interface for easier navigation.

Update: Phone VOIP Integration, Manual Labor Routing Delete Action, and Work Scan Shared Login Timeout Override

Benefits:

We have added a new feature that integrates our software with a phone VOIP system for improved communication. We have also introduced a new manual labor routing delete action for better organization, as well as a work scan shared login timeout override for work center flexibility.

Details:

  • Phone VOIP Integration: We have added a new feature that allows you to integrate our software with a phone VOIP system. The URL "yourdomain.wheelhousemfg.com/Apps/OutsideSales/CustomerSearch?kw=123.123.1235" can take a customer name, email, or phone number. If a single customer is found, Order Management will open filtered to show all the records related to the customer. Associate all customer phone numbers with the customer's record for best performance.
  • Manual Labor Routing Delete Action: We have added a new manual labor routing delete action.
  • Work Scan Shared Login Timeout Override: We have added a work scan shared login timeout override to allow more flexibility in the login timeout period for each work center.

Quote Validity Date Automation and Improved Customer Search in Order Management

Benefits:

We have added new settings for Quote Management that allow for the automatic closing of quotes and setting the valid thru date. We have also improved the Customer Search in Order Management to allow for searching by email or phone number, making it easier to find the customer you need.

Details:

  • Quote Management: We have added new settings for Quote Management that allow for the automatic closing of quotes when the valid thru date has been reached, automatic notifications to external users when their quote is nearing the valid through date, and a grace period that allows expired quotes to stay in the open quotes list for an additional period of time.
  • Customer Search in Order Management: We have improved the Customer Search function in Order Management to allow you to search by email or phone number. Customers associated with that search will be listed, making it easier to find the customer you need. The phone number may include or exclude special characters. +1(800)555-1212 and 8005551212 are both valid phone number searches.

When provided access, salespeople at your dealer's locations can enter their own orders directly! This reduces the load on your customer service team. It also allows your dealers to see all the options and make the best choices possible for their customers.

Details:

When you set up a user outside your company with access to Outside Sales, that user is provided with access that is specifically tailored to them based on their Access Level. Their Dashboard will reflect only the quotes, sales, and invoices to which they have access. They may have read-only access to some information while they may have full access to other information.

Configurator Upgrade Released!

The new configurator layout has been released for Wheelhouse! This is available when editing a configured product in Outside Sales. The updated configurator provides numerous options for the display of your products and options. During setup, the configurator administrator can control the visibility of prices, part numbers, names, and notes and may select from tile or dropdown controls for each option. Options may be separated into configuration groups.

Outside Sales: A better way to manage Quotes, Sales, and Invoices

Quickly create quotes, sales, and invoices for all your customers in one place. Convert from Quote to Sale to Invoice while keeping all the historical information for each.

Details:

Outside Sales is the updated replacement for Customer Service. It is faster to use, easier to understand, and will require less training time for your team. We've baked in a ton of security and field visibility features into Outside Sales so it can be customized to meet your needs.

Customer List: Use the buttons on the right to directly create quotes, sales, and RMA's.

Quote/Sale/Invoice List: Double-click to open any item in the list. To create a new record, select New. Use the sort and search functions to order the list or find the record you're looking for.

Single Record View: Edit the record of interest by adding items, files, and more to the order.

Work In Multiple Tabs Simultaneously

Benefit:

Work on more than one quote/sale/work order at the same time.

Details:

Now you can keep multiple tabs or windows open so that you can pick up right where you left off when you have to switch tasks. For example, if you're working on a quote for once customer, and another customer calls to place an order, you can simply open a new browser tab and help the 2nd customer. Then, when you're done helping that customer, you can return to the original quote by switching back to the original tab.

How to Use:

  1. Save: It is always a good idea to save before switching tabs if you can. It isn't required but changes may not be saved if you forget to return to the original tab or if you accidentally close it.
  2. In the Left Menu, Ctrl-Click the menu item or Right-Click and select "Open in New Tab"
  3. Click on the new tab and start working.
  4. Return to the original tab to pick up where you left off.

Default Theme Change

We released a new theme!

When the new Default theme is selected, the appearance and behavior of the application will change. You'll notice changes in:

  • Design including button shapes, colors, fonts, and icons
  • Form layouts & field grouping
  • Screens that used to pop-up will slide out from the right hand side of the page
We highly recommend the new default theme since some of the field grouping changes help improve productivity; however, if you prefer, you can to switch back to the old theme by changing the theme setting from the user icon > settings menu.

We've added a new user settings page where you can change settings that are specific to you, the profiles or tenants that you manage. Profile and tenant settings are available only to system administrators. To access settings:

  1. Open the menu and select the user icon
  2. Click on the Settings menu item
  3. Review or change settings
    Settings are saved instantly when changed.
  4. Exit the Settings page by selecting a different menu item

Minor Bug Fixes

We fixed as few things that most users will not likely notice. However, if you have experienced any of these issues, you'll be able to sleep better tonight knowing that we've taken care of them!

  • Job Scheduler/Shop Work: Fixed Estimated Finish Date Overwrite Bug that was incorrectly checking the entered date against the prior operation's estimated completion date even though the operation was already completed.
  • Search: Fixed search error that occurred when using .Count() function as part of the search text.
  • Search: Fixed error in searchable dropdowns that was preventing results from appearing.

New Capabilities: Quickly Archive Quotes and Sales

About the Feature: We have added the ability to quickly archive quotes and sales by viewing a list of all quotes or sales that are eligible for archiving and allowing you to archive them one at a time or all at the same time.

When can I archive quotes or sales and where do they go?

  • Quotes: When using this function, quotes that were used to create a sale will be moved to closed quotes. Quotes that were never converted to a sale will be moved to abandoned quotes. You can access the history from the Quote History tab. Switch the Type to Closed or Abandoned.
  • Sales (and RMAs): In order to be eligible for archiving, a sale/RMA must have an associated job AND all work orders on the job must be complete. If you can't archive the sale/RMA with this tool, you can always view the individual record and select 'Convert to Invoiced Sale' from the Action Menu. RMA's are a type of sale.

How do I use the action?

  1. For Quotes: In Customer Service, select the Open Quotes tab. From the Quote Actions menu, select View/Close Old Quotes...
    For Sales: In Customer Service, select the Open Sales tab. From the Sale Actions menu, select /View/Archive Sales with Completed Work Orders...
  2. For Both: Select the cutoff date. This allow you to view/close sales or quotes prior to the date selected.
    For Sales: Indicate if you which to close jobs that may be closed which are related to the sale. Some companies prefer not to close related jobs if they have a separate process for closing jobs.
  3. Click Run. Another window will open listing all records that are eligible for closing/archiving.
  4. To close/archive one item in the list, click the icon on the row you want to archive. Clicking "Close All" will close or archive all items in the list.
  5. Click the green close button or click the X to exit the window.

Minor Behavior Change to when a Job May Be Closed

Description of Change: Previously, we allowed jobs to be closed if all of the operations were complete on a work order - even if the work order itself hadn't been explicitly closed. We have changed to logic so that all work orders on a job must be individually closed prior to allowing closure of the job. We changed this behavior because, for companies that don't use routings, it was possibly to accidentally close a work order by closing a job.

Other Options for Closing all Work Orders On a Job: Sometimes, it is helpful to close all work orders on a job when a customer cancels or changes an order. This may be accomplished from the Customer Service > Edit Sale > Sale Actions Menu > "Stop Work/Revise Item" option. Run the action and select all items from the list. This will close all the work orders, close the job if possible, and notify the team you select.

Updated Customer Service Layout and Functionality

Description of Changes: We've updated the Customer Service application with a new look and features.

Layout changes on main customer service screen:
  1. The Customer and Conversations tabs were moved to the right.
  2. To add a customer, click the plus icon at the top of the customer list.
  3. To switch between customers click the filter icon. The selected customer will be highlighted.
  4. When filtering is active, click the "Clear Customer Filter" button to remove filtering.
Layout changes on Customer Service sale detail screens:
  1. Gray header and box visually indicates that you are in sale detail view.
  2. Sale Number, Company, and Sale Type are displayed in the gray header.
  3. "Discard & Reload" and "X" for close without saving now appear in gray bar to separate them from the save buttons.
  4. All action buttons for Save, Copy, etcetera, are now right aligned.
  5. Click on the sale header to collapse/expand.
  6. The total with discounts is now displayed in the sale header.

Updated Configurator Layout and Functionality Changes

Description of Change: We've released several layout and functionality changes to the configuration system.

  1. The configurator opens directly to the 'Configure' tab. To see the product info/specs, click on the info tab.
  2. Both Discounted and Retail Price are displayed
  3. All messages are listed in a dropdown under the "Messages" button. They are also displayed in the context of the record - see #5. Click on a message in the dropdown to link to the message in context.
  4. A progress indicator displays the current step and the total number of steps.

New Feature in Customer Service: View Sale Details for Sale With Open Work Orders

Description of Change: Before this change when a work order was created for a sale item, there was no way to view the configuration of the sale item. Customer service agents may now open the sale item's configurator in read-only mode. It will open to the review tab.

Added Customer Lead Times to Closed Work Order Report

Description of Change: We modified some of the field names and calculations on the "Actual Time Report for Closed Work Orders." The fields are now calculated as follows:

Search in long dropdown lists

  • Purpose: Decreases the time it takes to find specific items in long dropdown lists.
  • Where to find: If a list in a dropdown is 15 items or more, the search capability will automatically appear. When running reports, such as the closed work order report or sales reports, the search speeds up the process of finding and selecting certain work orders or groups of customers. 

How to use:

  • When the search option is available, start typing a search term. The search results will be filtered and highlighted.
  • If the dropdown allows multiple selections, select "All" to add all current list items to the selection list. Change the search to find more items and add to the selection list.

Fixed Position Sort in Shop Work

  • Purpose: Provides work centers with the ability to put the fix the position of certain work orders in the queue.
  • Where to Find: In Shop Work, look for the thumbtack column.
  • How to Use: Fixed position sort may be set when Shop Work is filtered to a specific Work Center. Click the thumbtack icon near the left side and enter a number to set the order. The number will appear in an oval and items with fixed positions will be listed at the top.

Abandon Sales

Estimated Completion Date Calculation Change

  • If all operations of a work order have been populated with estimated completion dates, the work order's estimated completion dates will reflect the estimated completion date of the operation with the maximum estimated completion date.  So, in most cases, the estimated completion date of the work order will be the estimated completion date of the last operation.
